AI use cases in transport

Not every AI use case is worth pursuing. In transport, some uses are ready now, some need work, and some should not be attempted at all. The board needs to know the difference.

The list of AI use cases in transport is long. Route optimisation, predictive maintenance, demand forecasting, fleet management, customer service, compliance reporting, fuel management, safety monitoring. Every vendor has a list. Every list looks impressive.

The question is not what AI can do in transport. It is what it should do in your transport business, right now, with the data and capability you actually have. That is a different question, and it needs an honest answer.

This article walks through the main AI use cases in transport, what each one actually delivers, and where the gaps are.

Predictive maintenance

Predictive maintenance is the use case that gets the most attention in transport. The idea is simple. AI analyses vehicle data to predict when a component will fail, so you can repair it before it does.

The reality is more complicated. Predictive maintenance works well when you have rich data, regular maintenance records, and consistent vehicle monitoring. If your maintenance records are incomplete, or if your telematics data has gaps, the prediction will be unreliable.

The value is real. Preventing a breakdown on the road is cheaper than repairing one. Avoiding a safety failure is worth more than the cost of the AI system. But the value depends on data quality, and data quality varies widely across transport companies.

Route optimisation

Route optimisation uses AI to find the most efficient routes based on traffic, weather, delivery windows, and vehicle capacity. The technology is mature and the benefits are measurable. Less fuel, fewer late deliveries, better vehicle utilisation.

The gap is in real-time adaptation. Static route planning, where routes are set in advance, is useful but limited. Real-time rerouting, where the system changes routes as conditions change, is more valuable but requires better data and tighter integration with operations.

The risk is over-optimisation. A system that optimises purely for cost may create routes that are technically efficient but practically difficult. Drivers know things that algorithms do not. The best systems combine AI recommendations with human judgement.

Demand forecasting

Demand forecasting uses AI to predict how much capacity you will need, when, and where. For transport companies with variable demand, this is valuable. It helps right-size the fleet, avoid empty trips, and match capacity to need.

The challenge is accuracy. Transport demand is affected by weather, events, economic conditions, and customer behaviour. AI can identify patterns, but patterns change. The system needs regular retraining and monitoring to stay accurate.

Fleet management

Fleet management AI helps track vehicles, monitor driver behaviour, manage fuel, and coordinate maintenance. It brings together data from multiple sources to give a clearer picture of the fleet's performance.

The value is visibility. Many transport companies have data about their fleet but do not have it in one place, in a form that supports decision-making. Fleet management AI creates that visibility.

The risk is information overload. More data does not always mean better decisions. The system needs to present information in a way that is useful, not just comprehensive.

Customer service

AI in customer service handles routine enquiries, tracks deliveries, and provides status updates. It frees the customer service team to handle complex issues and complaints.

The benefit is responsiveness. Customers get faster answers to routine questions. The team spends less time on repetitive work and more time on the issues that need human judgement.

The risk is impersonal service. Transport is a relationship business. Customers want to talk to people when things matter. AI should handle the routine, not replace the relationship.

Compliance reporting

AI can automate compliance reporting by pulling data from multiple systems, checking it for accuracy, and generating the reports that regulators require. It reduces the manual effort and the risk of errors.

The value is consistency. AI-generated reports are consistent in format and content. They reduce the chance of missed deadlines or inaccurate submissions.

The risk is incorrect data. If the source data is wrong, the report is wrong. The AI does not know the data is incorrect. It just processes what it is given.

Where AI does not work in transport

Not every problem needs AI. Some problems need better processes, better training, or better management. AI does not fix a broken process. It automates it. If the process is broken, you have just made it faster at being wrong.

Before pursuing any AI use case, the board should ask whether the governance is in place to support it. Without governance, even a good use case creates risk.
